Call the clerk first for routine records. Staff can tell you which office keeps the file you want. They can route you to the right staff line or hand you a short form. The state Public Records Act under RCW Chapter 42.56 sets the five business day rule and the fee schedule.

Olympia Police Phone Directory

The Olympia Police Department runs its own records desk. Accident reports can be released as soon as they are done. You can submit a public records request online or walk one in. Include a case number, a date, a time, an address, and the names. The Olympia Police Reports page has the full request details.

Olympia Phone Directory - Police Reports request page

The page above lists the fee schedule for police reports. Paper copies under twenty pages are free. Past twenty pages, the fee is fifteen cents per page. Electronic copies are free unless a job tops eighty files or one gigabyte.

Dial 9-1-1 only for an emergency. For a non emergency police call, use the records desk line in the Olympia phone directory on the city site.

Note: Accident reports are often ready within a few days. Call ahead and ask before you drive in.

Olympia Municipal Court Phone Directory

The Olympia Municipal Court handles city level cases. Effective February 5, 2026, all court services transfer to the Thurston County District Court. Criminal citations require a mandatory appearance for gross misdemeanors, which carry up to one year in jail and a $5,000 fine. Misdemeanors carry up to 90 days in jail and a $1,000 fine. That is set by state law.

After the court transfer, call the Thurston County District Court line for any case that was once handled at the city level. The clerk's staff can point you to the right desk. See the statewide WA Courts Name and Case Search page to look up a case by name or case number before you call.

State Resources Beyond the Olympia Phone Directory

Olympia is the state capital, so many state offices sit in town. Birth and death records go through the state Department of Health. The DOH Vital Records page has the phone line for that office. For a business or charity lookup, see ccfs.sos.wa.gov. The state digital archives at digitalarchives.wa.gov holds older files.

For criminal history, the state patrol runs the WATCH system. The WSP Criminal History WATCH page has the phone directory for the records unit. The data.wa.gov open data site lists state offices that own each dataset.

Note: Walk in calls at state offices are rare. Most now use an online portal first.

Olympia Records Portal and Fee Details

Olympia uses a GovQA portal for public records requests. The portal URL follows the pattern public-olympiawa.govqa.us. You can submit, track, and pick up files all in one place. The Olympia Police Reports page spells out the copy fees. Paper copies under twenty pages are free. Over that, the cost is fifteen cents per page. Electronic copies are free unless the job has more than eighty files or tops one gigabyte in size. These fees apply to the police desk and the city clerk alike.

Olympia is a non-charter Code city. It adopted initiative and referendum powers in 1978. That gives the public an extra layer of access to city records and decision making. The City Clerk holds contracts and purchasing records along with the standard Council minutes and ordinances. If your request is about a contract or a vendor file, call the clerk line first so staff can narrow down the search.
